Summary: This Privacy Policy explains how Smart Phonics and related Smart Schoolz services collect, use, store, protect and share information when you use the Smart Phonics application. The policy is intended to be publicly accessible without requiring a Smart Schoolz login.

Smart Phonics is an educational application provided by Inventrix under the Smart Schoolz platform (“Smart Phonics”, “Smart Schoolz”, “we”, “us” or “our”). We respect the privacy of students, parents, teachers, staff members and other users. This Privacy Policy applies to the Smart Phonics mobile application, related web services and backend services used to provide the application.

By using Smart Phonics, you acknowledge the practices described in this Privacy Policy. Where consent is required by applicable law, we will request it before collecting or using the relevant information.

Depending on your institution, account type and the features you use, we may process the following categories of information:

User-provided content Text, images, documents, audio or other content that a user or institution chooses to upload or submit through enabled features. Providing the feature for which the content was submitted, including educational activities, communications and support.
Support information Messages, email correspondence, problem descriptions and technical information you provide when requesting help. Responding to support requests and resolving service issues.

Smart Phonics does not intentionally collect data that is unnecessary for providing the educational service. Features available to a particular user may vary depending on the educational institution's configuration.

2. Device Permissions

Smart Phonics may request Android or iOS permissions only when required for an enabled feature. Depending on the version and features used, these may include notification permission and access to camera, microphone, photos/media or files when a user chooses to capture, upload or submit content. Permission requests are governed by the operating system and can generally be changed in device settings.

We do not use device permissions for unrelated purposes. If a permission is not necessary for a feature you use, you may decline it, although the relevant feature may then be unavailable.

5. Push Notifications and Firebase

On Android, Smart Phonics may use Firebase Cloud Messaging and related notification infrastructure. A device registration token may be created for the installation and sent to our backend so that notifications can be addressed to the correct device and account. Tokens may change when the app is reinstalled, application data is cleared, Firebase refreshes a registration, or other platform events occur.

Invalid or expired notification tokens may be deactivated or removed from our systems. Users can control notification permissions through their device settings.

6. Children's and Student Data

Smart Phonics is designed for educational use and may process information relating to students, including minors, when the service is provided through a school or other educational institution. Such information is used to provide educational services and is handled according to applicable law, institutional agreements and authorization provided by the relevant institution, parent or guardian where required.

We do not knowingly use children's or students' personal information for targeted advertising or sell such information. Schools and institutions are responsible for ensuring they have the authority required to provide student information to the service.

7. Data Security

We use reasonable administrative, technical and organizational safeguards designed to protect information against unauthorized access, alteration, disclosure or destruction. These measures may include access controls, authentication, role-based permissions, secure server infrastructure, logging and encrypted network transmission where supported and appropriate.

No internet-based service can guarantee absolute security. Users are responsible for maintaining the confidentiality of their credentials and should notify their institution or Smart Schoolz support if they suspect unauthorized access.

8. Data Retention

We retain information for as long as reasonably necessary to provide the service, maintain educational and institutional records, comply with contractual or legal obligations, resolve disputes, prevent fraud and enforce agreements. Retention periods may vary by data type, institution and applicable legal requirements.

When information is no longer required, we may delete, anonymize or securely dispose of it in accordance with applicable requirements and our operational procedures. Backup copies may remain for a limited period until they are overwritten or deleted through normal backup cycles.

9. Account and Data Deletion

Users may request deletion of their Smart Phonics account and associated personal data by contacting their educational institution or Smart Schoolz support. Where an account is controlled or created by an educational institution, the institution may need to verify or authorize the request.

When a valid deletion request is approved, we will delete or anonymize personal data associated with the account unless retention is required for legitimate purposes such as legal compliance, security, fraud prevention, financial/accounting obligations, educational record requirements or dispute resolution. Where information must be retained, access will be limited to the purposes that require retention.

If Smart Phonics enables users to create an account directly inside the app, we will provide an in-app path and an external web method for requesting account and associated-data deletion as required by applicable platform policy.

Depending on hosting, service providers and the location of users or institutions, information may be processed in countries other than the user's country. Where required, we use appropriate safeguards for such processing and transfers in accordance with applicable law.

We may update this Privacy Policy to reflect changes in the app, legal requirements or our data practices. The “Last updated” date at the top of this page shows when the policy was most recently revised. Material changes may also be communicated through the app, website, institution or other appropriate means.
